Subscribe to  Indie Biz Q&A Organizing sources of info?

I often come across magazine articles, white papers, blog posts, etc. that have great advice or something that may be useful to remember and refer back to. But I have no idea how to keep track of where to go when the time comes to dig up advice that I might have found a couple of months ago.

Do you have an effective and efficient way to catalog, index, or otherwise organize these sources so that you can go back and refer to them by topic later on?

    Amy, I can really identify with your problem! I'm currently in the process of using the computer to store my articles, etc. Anything you can copy to a word document makes that easy, but sometimes you have a hard copy and in that case you need to scan it. My printer has a scan option on it and I've also invested in a really nice little piece of office equipment called "NeatReceipts Scanalizer". NeatReceipts will allow you to scan practically anything to your computer. When you have all your articles, etc. in the proper format on your computer, you can store them on appropriately labeled discs or file them in hard-drive folders. I'm sorry I can't give you a long-term review of this procedure because I haven't completed it, but so far what I've got stored on my computer is a better way for me to access this material rather than filing hard copies in a filing cabinet. (Besides, I hate to file yet I recognize it's a necessary evil). I hope this idea is of some help to you.

    Elizabeth, what you do is so needed in this world!

    Diane, I assume you are talking about information in many different areas and on many different levels. A newspaper publisher friend of mine told me a story about a question one of her professors asked in an MBA class. It was, "What would you pay to get less of? The consensus from the students? Information!

    We started our business to address this very problem, focusing solely on the area of small business marketing.

    It can be very time consuming. I started storing whole newsletter issues that may each have just one article I wanted to save. But then I had to go back and read through the whole issue to find the one article I had wanted to save.

    Now I have folders labeled "blogging," (with subfolders within), "social media marketing," "networking," etc. and I've gotten good at skimming a source (the Early to Rise e-zine, for example), copying the article, naming it and saving it on the desktop. Then I can delete that whole issue. Later, when I have time, I put the saved and renamed article into the folder it fits content-wise.

    Now I'm sure that Elizabeth has much, much better advice on how to solve the problem. If I weren't in Pierce County, on an island, with the ferry the only way to get to me, I'd be tempted to hire her myself!

    There are a lot of ways to organize information of course and it really depends upon how you need to access the information. If you ever have any specific questions about an idea or product just drop me a note and I am always happy to offer my advice or point you in a different direction.

    If you mean online information, try the del.icio.us bookmark. (go to http://del.icio.us). You can download a plug-in for Internet Explorer and Firefox, and can find your bookmarks anywhere with an Internet connection.

    The best thing is tagging and searching your bookmarks!

    I have tried a few different solutions, now I am using PBwiki to keep track of articles. I paste the article as it's own page (in case the post gets moved or taken down) with a link to the source.

    Backpack and google notebook are other tools you can use for this.
